Wait until you are back at a desk and momentum is gone, the customer has had time to find reasons to delay, and your cash flow takes the hit. Browser-based invoicing skips the app store entirely. You open a website in your phone's browser — Safari on iPhone, Chrome on Android, anything modern. The site loads the invoice generator as a regular web page; you fill in the form, watch a live preview, and download the PDF. No download, no permissions prompt, no app updates. The site handles the layout, the math, and the PDF rendering; you handle the inputs.

The data you enter stays in your browser while you work — most invoice generators do not push your customer data to a server unless you choose to share or save it explicitly. That makes browser-based invoicing fast and private; it also means you should download the PDF before you close the tab if you want a copy.

Step-by-step: send an invoice from your phone

1. Open the browser on your phone and navigate to the invoice generator.
2. Tap the Edit tab if your phone shows the preview first. On a small screen, the generator switches between Edit and Preview so you do not fight two half-size panels.
3. Enter your business name, address, and contact details in the Your Business section. If you have a logo image in your photo library, upload it.
4. Add the customer's name and address. The phone keyboard handles autocomplete, so email addresses and common fields are usually one tap.
5. Fill in the invoice number, issue date, and due date. Use the on-screen date picker rather than typing — fewer typos.
6. Add a line item for each thing you supplied: description, quantity, and unit price. The live preview totals as you go.

• Send from site: Email the PDF to the customer before you leave. The fresher the invoice, the faster it gets paid.
• Use a QR code for payment: Add a UPI or mobile-wallet QR code so the customer can pay from their own phone in two taps.
• Backup the PDF: Once downloaded, the PDF lives on your phone. Sync it to cloud storage or email a copy to yourself so you have a separate record.

iPhone vs Android: any difference?

For browser-based invoicing, almost none. Both platforms run modern browsers that handle the form, live preview, and PDF export identically. The differences are minor: the share-sheet icon looks different (square with an up-arrow on iOS, three-dot or share triangle on Android), and the file-save location differs (Files app on iOS, Downloads folder on Android). The invoice generator itself behaves the same.

One small caveat on iOS: the Safari browser sometimes defaults to opening PDFs in its own reader rather than downloading. If the PDF opens instead of downloading, tap the share icon in the reader's toolbar and pick “Save to Files” or your preferred email app.

When a phone is not enough

A phone handles 95% of invoicing situations. The few cases where a larger screen helps: complex multi-line invoices with dozens of items, batch invoicing from a CSV, or annual statement generation tied to an accounting system. For those, switch to a laptop for the session. For everything else — and especially for sending an invoice minutes after a job finishes — a phone is the right tool.
